RE: Meeting to Discuss Reorganization of the Office

This is to inform all the workers of the upcoming meeting on February 15, 2014. The agenda of the meeting is to discuss the reorganization of the office aimed at achieving greater efficiency and making it more conducive for work. The purpose is to come up with a plan concerning the necessary changes to be done and finances required for the reorganization. The meeting will be held at the hall starting 2:00 P.M and shall end at 5:00 in the evening. All of you shall be required to come prepared with any issues you want changed. Therefore I request all the staff members to attend the meeting without failing.

The main reason we need to change the organization of our office is because the current one does not serve out clients well. In addition, it is hard us to work flawlessly and effectively. Some of the problems arise from the old office floor plan and lack of up-to-date infrastructure. These are some of the issues that shall be discussed. During the meeting, we shall also determine which companies to hire services from for the different requirements such as IT and furniture. Suggestions are welcome which is why your preparation is very important.

In addition, I request each department to determine some of its needs. The IT department should come up with all the reorganization that is required to meet our communication demand. The sales and marketing team, as well as the customer care services departments should raise all the issues occurring while attending to clients as a result of the current office organization. I also expect the accounting department to come with financial reports in order to determine the amount of funds we can have for this project.
